The LISTEN Center is an amazing place staffed with dedicated people helping those with intellectual and developmental disabilities become as independent and self-sufficient as possible. We care for those we serve with positivity, respect, and friendliness. The LISTEN Center Operations Assistant provides administrative support for day-to-day operations of the LISTEN Center. Duties range from welcoming visitors and communications assistance, to providing organizational support through office management activities, leading and/or coordinating special projects to scheduling and minute taking when requested. The Operations Assistant will also greet, assist, and provide direction and information to those served by the LISTEN Center, visitors, and other guests of the organization, often being the first point of contact and reflecting the LISTEN Center mission and vision. The job duties require representing the LISTEN Center in a professional and productive manner. This includes being respectful to coworkers and supervisor(s), being prepared and punctual for work each day, being productive in the workplace, and attending to work-related matters while complying with deadlines in this front-facing position.
- Schedule meetings when requested, book conference rooms and prepare materials as needed.
- Coordinate distribution of internal and external communications, including memos, announcements and updates.
- Maintains and updates office records, databases and files.
- Answer, screen, and direct phone calls to staff; take messages and schedule appointments as necessary.
- Receive mail, documents, packages, and courier deliveries; deliver or distribute items
- Ensure supplies are adequately stocked and designated work areas are neat and orderly at all times.
- Take meeting minutes when requested and ensure timely distribution of records
- Provide support and coordinate for designated community events as identified by the CEO
- When requested, assists with event logistics, such as arranging catering and communicating details to participants.
- Other duties as assigned by the Administrative Team
- Understand and follow the LISTEN Center's guidelines detailed in the policy manual, including protecting the rights of persons served, following all state and federal regulations, and adhering to LISTEN Center's time and attendance expectations
- High school diploma or GED required
- Excellent interpersonal and customer service skills
- Proficient in Microsoft Office software programs to include Word, Excel and Power Point
- Strong written and verbal communication skills
- Time-management skills; ability to multitask and prioritize effectively
- Self-starter, attention to detail and strong organizational skills
- Ability to maintain confidentiality
- Employ the principles of People First and the Active Support Models as ways to engage those we serve
- Background check completed per federal and state guidelines
- Employment offer conditioned upon a negative test for illegal substances
