Position Summary

The Listen Center Executive Assistant supports the Executive Director with tasks such as scheduling; reviewing, prioritizing, and responding to emails; answering and returning phone calls; organizing documents; maintaining records; taking notes at meetings; and any other administrative tasks that assist the Executive Director. The Executive Assistant will also greet, assist, and provide direction and information to those served by the Listen Center, visitors, and other guests of the organization, often being the first point of contact and reflecting the Listen Center mission and vision. The job duties require representing the Listen Center in a professional and productive manner. This includes being respectful to coworkers and supervisor(s), being prepared and punctual for work each day, being productive in the workplace, and attending to work-related matters while complying with deadlines.

Responsibilities
  • Manage scheduling for company executive(s)
  • Draft, review, and send communications on behalf of company executive(s)
  • Organize and prepare for meetings, including gathering documents and attending to meeting logistics
  • Take meeting notes for board and committee meetings
  • Answer and respond to phone calls, and communicate messages and information to the executive(s)
  • Prioritize emails and respond when necessary
  • Coordinate travel arrangements
  • Maintain various records and documents for company executive(s)
  • Greet those we serve, visitors, and guests; determine the purpose of each person’s visit and direct or escort them to the appropriate location
  • Answer, screen, and direct phone calls to staff; take messages and schedule appointments
  • Receive mail, documents, packages, and courier deliveries; deliver or distribute items
  • Perform administrative and clerical support tasks
  • Perform basic filing and record keeping
  • Perform other duties as directed by the Executive Director
Requirements
